Frequently Asked Questions

How do I know if I need therapy?

Most people reach out when things just feel stuck. Maybe you’re sick of the constant hum of anxiety, your relationship keeps hitting the same wall, you’ve experienced a loss that left you feeling not yourself, or you just have a nagging sense that you aren't living the life you actually want. You definitely do not need to be in the middle of a crisis to show up. If something is getting in the way of you feeling okay, that is plenty of reason. We offer a free 20-minute consultation so you can talk with a counsellor and see if you click.

What happens in the first session?

Think of the first meeting as a chance for your counsellor to get to know you. They’ll want to hear what brought you in, what you’re hoping will change, and a bit of your history. There is no pressure to share more than you’re ready for on day one. It is also your chance to get a feel for how the counsellor works and ask whatever is on your mind. By the time the hour is up, you’ll usually have a rough idea of what working together will look like going forward.

How do I choose the right therapist at Heartwood?

Our counsellors all have different specialties and ways of working. I would suggest reading through their profiles and seeing who you feel naturally drawn to. Sometimes it is because they focus on exactly what you’re dealing with, and other times it is just a feeling you get from how they describe their approach. If you are stuck, that free 20-minute chat is the best way to test the waters. The connection you have with your therapist matters a lot, so finding a good fit is a big part of the process.

How much does therapy cost in Victoria, BC?

Our session fees depend on which counsellor you see. We also have student counsellors who offer lower-cost sessions for people who need a more affordable option. You can see our current prices on the Fees page. We don't want the cost to be the thing that keeps you from getting help, so if you have questions about what is possible, send us a message and we will do our best to help you out.

Do you direct bill my insurance?

We don't offer direct billing right now. After you pay for your session, we provide a receipt that you can send to your insurance company to get your money back. Most extended health plans in BC cover registered counsellors (RCCs and CCCs), but it is always a good idea to check your specific policy for titles like RCC, CCC, or RSW. If you aren't sure what your plan covers, a quick call to your provider or a chat with your HR department usually helps.

What's the difference between an RCC and a CCC?

Both are titles for masters-level counsellors in Canada. An RCC (Registered Clinical Counsellor) is a BC-specific designation, while a CCC (Canadian Certified Counsellor) is a national one. Both require at least a master's degree and a lot of supervised practice hours. For you, the main difference is usually just which one your insurance company is willing to cover. It is worth checking your specific plan to see if they have a preference.

Do you offer online therapy?

Yes. All of our counsellors can meet over secure video, or you can come see us in person at our office in downtown Victoria. A lot of clients actually prefer the flexibility of online sessions because it’s easier to fit into a busy day, and it works just as well as in-person therapy for most things. If you are living outside of Victoria or just want to meet from the comfort of your own home, online is a great way to go.

How often should I come to therapy?

Most people start with weekly sessions. This helps get some momentum going and lets you build a solid relationship with your counsellor early on. As things start to shift and feel more manageable, you might want to move to every two weeks or once a month. Sometimes when we are working on a deep issue, a series of weekly sessions over the course of months is necessary to create change. Sometimes it might feel right to comes in few times a year for a tune-up. Your counsellor will work with you to find a rhythm that fits your life and your budget. There isn't one right answer that works for everyone or at every stage of life.

What is somatic therapy and how is it different from talk therapy?

Traditional talk therapy is mostly about language, using words to explore your thoughts and patterns. Somatic therapy brings the body into that process. It is based on the idea that our nervous systems signal stress and trauma in physical ways, like a tight chest, shallow breathing, or always feeling like you’re on high alert. Somatic work helps you tune into those physical signals and work with them directly. Many people find it helpful when they feel like they’ve talked about their problems forever but still feel the same way physically.

What is EMDR and is it right for me?

EMDR stands for Eye Movement Desensitization and Reprocessing. It is a specific type of therapy designed to help people process painful memories so they don't feel so overwhelming in the present. It traditionally involves following a light or a finger with your eyes while you hold a difficult memory in mind, but research has shown that tapping or other movements work as well as eye movements. Over time, that memory loses its emotional sting and becomes easier to live with. It is most famous for helping with trauma, but it is also great for anxiety or grief. Several of our therapists are trained in EMDR and can help you figure out if it is a good fit.

Where are you located in Victoria?

Our office is right downtown at #201-645 Fort Street, in the Yarrow Building. It is elevator accessible. Kashka Huges Clarke has a private office a few blocks away 3B - 1218 Langley St, Victoria, BC. Both offices are central and easy to get to. If you are doing virtual sessions, you can meet with your counsellor from anywhere in BC.

What is your cancellation policy?

We ask for at least 48 hours' notice if you need to cancel or move an appointment. If you miss a session or cancel within 24 hours, we usually have to charge the full fee. Sometimes we are able to fill the space from the waitlist, in which case we won’t charge you. We know that life gets messy sometimes, so if something comes up, just let us know as soon as you can and we will work with you.

Is what I share in therapy confidential?

Yes. What you talk about with your counsellor stays between the two of you. There are a few very specific legal exceptions, like if there is a serious risk of harm to you or someone else, if a court subpoenas your file, or if a child is being hurt, but these are rare. Your counsellor will go over all of this at your first visit so you know exactly where the boundaries are. We also talk anonymously about our clients with other counsellors, usually experienced therapists. This is a necessary practice called clinical supervision or clinical consultation. It helps your therapist improve their skills and serve you better. Your therapist will share as few details about you and your situation as is necessary to get the guidance they need. Outside of those situations, your privacy is protected by strict confidentiality rules.
